1. Scope
This policy applies to the TCDS Warehouse Operational Alerts SMS program operated by Total Coverage Database Solutions LLC (“TCDS,” “we,” “us,” or “our”). The program is intended for authorized TCDS owners, managers, employees, and contractors.
2. Information we collect
We may collect an authorized participant’s name, business role, mobile telephone number, consent status, consent date and time, consent source, opt-out status, message delivery information, inbound keyword responses, incident identifiers, and security or audit metadata necessary to operate and protect the program.
3. How we use information
We use program information to deliver operational alerts, verify authorization, route urgent notices, process START, STOP, and HELP requests, maintain consent and delivery records, investigate failures or misuse, meet legal and carrier obligations, and improve program reliability.
4. SMS opt-in data and consent
We will not share your opt-in to an SMS campaign with any third party for purposes unrelated to providing you with the services of that campaign. We may share personal data, including SMS opt-in or consent status, with third parties that help us provide our messaging services, including platform providers, phone companies, telecommunications providers, hosting providers, security providers, and other vendors that assist in the delivery, security, or operation of text messages.
All other categories of data sharing described in this policy exclude text messaging originator opt-in data and consent. SMS opt-in data and consent will not be sold, rented, traded, or shared with third parties or affiliates for their own promotional or marketing purposes.
5. Limited service-provider disclosure
We may disclose the minimum information necessary to service providers acting on our behalf for telecommunications, hosting, security, database, monitoring, legal, or compliance functions. These providers may use the information only to perform services for TCDS and must protect it consistent with applicable obligations.
6. Legal and safety disclosures
We may disclose information when reasonably necessary to comply with applicable law or valid legal process, protect rights or safety, investigate fraud or misuse, or satisfy telecommunications and carrier requirements. Any such disclosure of SMS opt-in data or consent is limited to what is legally or operationally necessary and is not for promotional or marketing use.
7. Data retention
We retain consent, opt-out, delivery, audit, and incident records for the periods reasonably necessary to operate the program, document consent, enforce opt-out requests, resolve disputes, protect security, and satisfy legal or carrier obligations.
8. Security
TCDS applies administrative, technical, and physical safeguards appropriate to the sensitivity of program data, including encryption in transit, access controls, least-privilege permissions, credential protection, audit logging, monitoring, secure development practices, and incident response. No system can guarantee absolute security.
9. Participant choices
Reply STOP to unsubscribe from SMS alerts. Reply START to resubscribe where supported. Reply HELP for assistance. Authorized personnel may also contact TCDS at alerts@tcdsolutionsgroup.com to request assistance with their messaging preferences. Opting out of SMS does not prevent TCDS from using other lawful workplace or operational communication methods.
10. Children
This internal business program is not directed to children and is not intended for anyone under 18.
11. Changes
We may update this policy to reflect operational, legal, carrier, or security changes. The effective date will be revised when material changes are published.
